Job Description
This is a Full-Time position (80 hours per pay period) with a Monday – Friday schedule (partial remote / hybrid schedule with a minimum of three days in office per week), located at Scripps Health in San Diego. Join a highly engaged team providing Executive Assistant Sr support to the SVP, CIO (Acute Care), Ambulatory Chief Medical Information Officers, and AVP (Knowledge Management) at Scripps Health. In this role, your primary responsibilities will include departmental activities such as training coordination, scheduling travel, departmental event coordination and planning, agenda preparation, editing / revising reports and presentations, office supply management for department, and space planning and coordination. This position will require a demonstrated ability to provide comprehensive executive support – scheduling, coordination, reading/writing skills, MS365 (Outlook, Word, Excel, Teams, SharePoint, PowerPoint, Adobe), departmental coordination with special events planning and execution, space planning, building support, and visitor management. Executive Assistant Sr duties may include the following:
- Performing advanced administrative duties of a responsible and confidential nature at the highest level of the organization.
- Organizing and expediting flow of work through executive’s office and initiates and completes any follow-up action.
- Frequently accessing highly confidential information and files.
- Communicating with contacts at all levels in the organization, industry, and community.
- Understanding the executive’s job and method of operation, in addition to the operations and procedures of their department(s) and organization.
- Communicating executive’s instructions or desires to various individuals and/or departments and furnishing and obtaining information from other executives.
- Scheduling appointments and making arrangements for meetings, conferences, and travel.
- Organizing and maintaining files of correspondence and records, following up on pending matters.
- Preparing special reports, gathering, and summarizing data.
- Organizing and preparing complex documents requiring the integration of multiple office technology and software applications.
- Preparing complex correspondence, reports, and presentations.
- Regularly supporting Board and/or Board sub-committees.
Required Qualifications:
- Requires a minimum of 5 years of administrative experience, 1 of which supporting an executive.
- Ability to quickly and effectively handle multiple priorities and assignments while maintaining professional composure.
- Strong working knowledge of Microsoft Office suite.
- Excellent discernment or problem-solving skills, interpersonal and communication skills.
- Ability to adapt in a fast-paced environment.
- Highly organized and high level of personal accountability.
Preferred Qualifications:
- Bachelor’s degree preferred.
